Our Campus Agreement
Please be aware of the following policies that all students will read and accept during their Alma Modern orientation:

Our coaching is designed to equip you with:
Skill & Strategy Development: We help you build and refine essential academic and executive function skills like planning, prioritization, study systems, and routines.
Implementation Support: We partner with you to tailor strategies to your daily schedule and hold you accountable as you put them into practice.
Resources: We connect you with campus resources (tutoring centers, disability access, writing labs) to strengthen your support network.
Coaching is NOT:
A Guaranteed Result: Academic growth depends entirely on your personal ownership, active participation, and follow-through, so we can’t guarantee grades, graduation, internships, or other college outcomes.
Mental Health Care: Coaching is not a substitute for psychological, neurological, medical, or therapeutic services.
A treatment or “cure” for learning differences or disabilities: We equip students with systems, strategies, and support to navigate college tailored to their unique situation.

Our 1:1 calls happen in private Google Meet calls, but students will receive access to our digital campus, where they can join group calls like office hours and co-working, attend live events, direct message their coach, and access our college success resources.
The Alma Modern campus is designed to ensure our students have access to everything they need to thrive in college. That only works when everyone helps keep this campus respectful, safe, and focused.
By using our digital campus here, students agree to the standards below:
Treat every student, parent, and pro with respect. We will not tolerate bullying, harassment, hate speech, threats, or public shaming.
Keep the campus constructive. We’re here for growth, encouragement, questions, and honest conversation.
Protect privacy. Do not share screenshots, member information, private messages, or course materials outside Alma Modern without permission.
Participate honestly. Ask questions, share wins, and use the tools we provide, but remember that your results depend on what you do with them.
Follow the rules of any session, event, or space you join.
⚠️ If someone violates these standards, we may restrict access to individual features (chat, group calls, etc.) or remove the student from the digital campus completely to protect the community.

24-Hour Notice Required: You must cancel or reschedule 1:1 coaching sessions at least 24 hours in advance.
Late Cancellations & No-Shows: 1:1 sessions missed or canceled with less than 24 hours' notice are forfeited and will not be rescheduled.
Extenuating Circumstances: We understand true emergencies occur; coaches will do their best to accommodate unpreventable situations.
⚠️ You can still attend a session even if you are late. The coach will wait in your meeting room for the entire length of your session. 5 mins of coaching is better than none!

Program & Tuition Structure
Alma Modern requires a full-semester commitment structured into four 1-month blocks:
Fall Term: 1 (Mid-Aug – Mid-Sept) | 2 (Mid-Sept – Mid-Oct) | 3 (Mid-Oct – Mid-Nov) | 4 (Mid-Nov – Mid-Dec)
Spring Term: 1 (Mid-Jan – Mid-Feb) | 2 (Mid-Feb – Mid-Mar) | 3 (Mid-Mar – Mid-Apr) | 4 (Mid-Apr – Mid-May)
Refund Policy
The same standard refund terms apply whether an account is closed via voluntary withdrawal or due to unresponsiveness:
Active Block: The block currently in progress is non-refundable. For installment accounts, we retain the current active installment and do not refund it.
Future Blocks (Paid Upfront): You will receive a 100% refund for any full, unused future blocks remaining in the semester.
Future Blocks (Installment Plan): We will cancel all scheduled future installments.
Voluntary Withdrawals
A student or parent must submit written notice directly to the coach of the decision to stop coaching. We process payment adjustments on the date we receive written notice, according to our Standard Refund Policy.
Unresponsiveness
If a student misses 2 sessions and stops replying to messages, the coach will send 3 email check-ins over 1 week.
If the student remains unresponsive and misses a 3rd session, the coach will contact their family directly.
If we do not receive a response from the parent within 3 days, we will close the account and automatically apply our Standard Refund Policy.

Student Autonomy First: We do not release coaching details, grades, or session attendance to outside parties (including family) without the student’s permission.
Family Involvement: Protecting the coach-student relationship is our top priority. If a family check-in is requested, students will always be present, and we will review what we will discuss together beforehand.
Exceptions to Confidentiality: Information remains strictly confidential except when required by legal demands, to prevent self-harm or harm to others, or to protect individuals requiring safety intervention.
Group & Community Spaces: All personal stories, reflections, and details shared during group sessions or workshops are strictly confidential. What is shared in the group stays in the group.
