1:1 Coaching Policies

  • Coaching is a partnership (defined as an alliance, not a legal partnership) between the Coach and the Client in a thought-provoking and holistic process that inspires the Client to maximize their potential. It facilitates the creation of personal, academic, and/or professional potential through goal creation and implementing a strategy for achieving those goals.

    The Client is solely responsible for creating and implementing his/her physical, mental, and emotional well-being, decisions, choices, actions, and results from the coaching relationship. As such, the Client agrees that the Coach is not liable or responsible for any actions (or inactions) or any direct or indirect result of coaching services provided.

    Coaching is not therapy, does not substitute for therapy, and does not prevent, cure, or treat any mental disorder or medical disease. If the Client is under the care of a health professional, they should promptly inform the health care provider of the coaching program.

  • Here is what is included in our coaching package:

    —1:1 coaching sessions focused on developing learning, productivity, and mindset strategies essential to student success (50 mins each or split into 2×25-min sessions as agreed)

    —Private Office Hours: 15-min check-in scheduled in Alma Modern’s coaching portal

    —Unlimited Direct Message text and voice access: Students may reach out to their coach between sessions for questions, advice, etc. (please allow a response window of up to one business day)

    —AI-powered session notes & action steps

    —Access to Alma Modern’s strategy cards and microcourses (launching Spring 2025)

    —Parent/Sponsor video updates by request

    *To maximize coaching effectiveness, the client may not schedule more than two 1:1 sessions in any business week (Monday-Friday).

  • It is the Client’s responsibility to inform the Coach at least 24 hours before the scheduled session of a cancellation. The Client must notify their coach of the cancellation via email.

    While we strive to be understanding of cancellations that do not observe this policy, we reserve the right to deduct one session from the Client’s remaining sessions for cancellations with less than 24 hours' notice.

  • Refunds

    We want to ensure our coaching relationship is positive, productive, and beneficial. Either party maintains the right to terminate the coaching relationship at any time if they feel the coaching relationship is not effective or beneficial. If either party chooses to terminate, they must meet with the other party to express their concerns and work to create a mutually beneficial outcome to save the partnership.

    If both parties cannot reach an agreement to continue coaching, the refund policy in effect for the terms of this agreement is as follows:

    The client may request a refund if they have utilized 50% or less of the coaching sessions included in their coaching package. Refunds will be prorated based on the number of remaining 1:1 sessions minus a $250 administrative fee.

    For example, if a client has attended six of their twelve coaching sessions, they will be refunded 50% of their total package cost minus $250.

    Clients who have utilized more than 50% of their coaching sessions are not eligible for a refund.

    Access to all services and resources will cease immediately upon written confirmation of termination.

    Terminating the agreement does not relieve the Client of their remaining monthly payments (if applicable). Clients on payment plans will receive an invoice for their remaining program balance minus their entitled refund.

    Any coaching sessions or services not used within the coaching agreement period will be forfeited. No refunds will be given for unused sessions or services.

    Termination

    If the Coach cannot contact the Client after three email attempts, they will email a termination notice to end the coaching relationship.
